Acceptable Use Policy

CanvaScreens is operated by BuiltPOS LLC. Last updated: 3 September 2026

In short

CanvaScreens drives screens that face the public — a dining room, a drive-through, a lobby. The rules below exist because whatever you publish is seen by strangers, including children, who never agreed to anything.

Keep it legal, keep it yours, keep it suitable for a general audience, and do not attack the platform. Break those and we will ask you to stop; keep going and we will suspend the account.

1. What this covers

This policy applies to everyone with a CanvaScreens account and to everyone they invite. It forms part of the Terms of Service, and it covers the console, the API, the player software and everything displayed on a screen you manage with it.

2. Content you must not display

  • Anything illegal where the screen is, or anything that promotes illegal activity.
  • Anything you do not have the rights to: unlicensed fonts, stock images outside their licence, other brands' artwork, music you have not cleared, or franchise assets you are not authorised to use.
  • Sexual content, graphic violence, or gore. These screens are in public rooms.
  • Content that attacks or demeans people for their race, ethnicity, national origin, religion, disability, sex, gender identity or sexual orientation, and content that harasses a specific person.
  • Deliberately false pricing, false nutritional or allergen information, or claims designed to mislead a customer standing in front of the board.
  • Promotion of alcohol, tobacco, vaping, cannabis, gambling, firearms or regulated products where local law prohibits displaying it, or without the age controls that law requires.
  • Malware, phishing, or QR codes and links that send a customer somewhere they did not expect.
  • Rapidly flashing sequences that could trigger a photosensitive seizure.
  • Anything presented so as to look like an official notice from a government body, a public health authority or an emergency service when it is not.

3. Screens are public

Assume every board is being read by someone who has no relationship with you: a child waiting with a parent, a passer-by, a journalist. Content that would be unremarkable on a private staff monitor can be a problem on a wall in a dining room, and the standard we apply is the public one.

4. The emergency broadcast feature

An emergency broadcast overrides everything playing on the screens you send it to. That is what makes it useful and what makes it easy to abuse.

  • Use it for genuine safety and operational emergencies: evacuations, closures, hazards, incidents.
  • Do not use it for promotions, jokes, tests on live screens, or anything you would not want on the record.
  • Do not present a broadcast as coming from the police, the fire service, a public health authority or any other body you do not speak for.
Every broadcast is written to the audit log with the account that sent it and the time it was sent. If a false emergency message causes harm, that record is what will be read afterwards.

5. Rules for the platform

  • Do not probe, scan or test the security of the service without written permission. Reporting a vulnerability you found while using the product normally is welcome and is not a breach of this rule.
  • Do not try to reach another customer's data, or to escalate beyond the permissions your role gives you.
  • Do not share credentials or API keys, and do not use a device API key outside the device it was issued to.
  • Do not connect a point of sale using credentials that are not yours to use.
  • Do not evade rate limits, run automated load against the API, or use the service in a way that degrades it for other customers.
  • Do not reverse engineer, decompile or tamper with the player software, including to bypass licensing or pairing.
  • Do not resell or sublicense access to the console unless you are in our reseller programme.
  • Do not use CanvaScreens to store or distribute material unrelated to signage, such as using media uploads as general file hosting.

6. Devices

Only pair devices you own or control. Do not pair a device you have been asked to return, and do not leave a paired device with a screen you no longer manage — unpair it in the console instead, which stops it receiving your content.

7. Music and fonts

If you play music through a screen, the public performance licence is yours to hold. Where you buy our licensed background music add-on, that licence covers only the tracks we supply, only while the add-on is active, and only on your own screens. Fonts you upload are the same — a desktop font licence usually does not cover a display in a commercial space.

8. What we do if this is broken

Our first step is almost always an email. Most breaches are somebody not thinking about a font licence, not somebody acting in bad faith.

  • Notice. We tell you what the problem is and ask you to fix it.
  • Removal or suspension. We may remove specific content, disconnect an integration, or suspend a screen or an account.
  • Immediate action without notice. Reserved for content that is illegal, that endangers people, or that puts other customers at risk. In those cases we act first and explain afterwards.
  • Termination. For serious or repeated breaches, under the Terms of Service.

We report to law enforcement only where the law requires it, or where there is a credible threat to someone's safety.

9. Reporting a problem

If you have seen a CanvaScreens screen displaying something that breaks this policy, or you believe your content or brand is being used without permission, email hello@canvascreens.com. Tell us where the screen is and what you saw. A photograph helps.
